This is a limited duration position and is expected to last no longer than three (3) years. PURPOSE: Support the Operational Readiness and Airport Transition (ORAT) team in the successful coordination of activation and opening new facilities at Seattle-Tacoma International Airport. The ORAT Specialist will be primary for maintaining Activation Schedules and the ORAT software/website that support multiple mega-cap projects. Provide logistical support for the ORAT team and hundreds of stakeholders as they transition into new facilities. This position will be fast paced, very dynamic, and working with an extremely energetic team of professionals who are responsible for opening multiple mega-capital projects at the airport.
ESSENTIAL FUNCTIONS: This list is ILLUSTRATIVE ONLY, and is not a comprehensive listing of all functions and duties performed. Essential duties and responsibilities may include, but are not limited to, the following:
Update, maintain and publish Activation Schedules for ORAT related capital projects. Identify and resolve any conflicts between ORAT and Project/Construction Master Schedules.
Serve as the system administrator for ORAT specific software to include; maintaining cloud storage, file uploading, tracking tasks, updating activation schedules and calendars of events, keeping dashboards up to date, publish key metrics, adding new apps, managing stakeholder access and subscriptions.
Monitor and manage ORAT email and social media platforms.
Assist in the coordination of Activation Working Groups across multiple projects by schedule resolution, providing project related materials, maintaining activation/project checklists, prepare project related correspondence, distribute technical materials, assist in the development of Standard Operation Procedures (SOPs) and Contingency Plans (CPs), and catalog lessons learned.
Participate in project meetings, working groups and workshops, contributing technical analysis and experience as it relates to operational readiness, activation, training, and opening new facilities.
Provide direct communication with airline stakeholders, federal agencies, Port departments and airport tenants regarding ORAT workshops, trials, simulations and other activities.
Assist in the development of ORAT presentations and reports for leaders and stakeholders including; memo-routing, preparation of workshop materials, tracking ORAT related cost, monthly progress reports and billings, as well as various project schedules.
Assist with budget tracking, monitoring and variance reporting.
Responsible for purchasing and tracking general supplies, Personal Protective Equipment (PPE), catering, securing venues, etc for ORAT related activities and events.
KNOWLEDGE, SKILLS & ABILITIES: Basic knowledge of airport and airline operations, to include federal agencies that support airports. Some knowledge of blueprints and Project Design Drawings and Standards.
Advanced skill with project scheduling software, Microsoft SharePoint and OneDrive, as well as Word, Excel, PowerPoint. Excellent verbal and written communication skills, as well as effective listening skills with team members and stakeholders. Skills in improving processes with a positive constructive attitude. Skills in being tactful and respectful in a team environment and working with diverse stakeholders.
Ability to work independently and in a team with peers and upper-level staff. Ability to effectively plan, organize and prioritize work on a daily basis; work on multiple tasks accurately and quickly in a high pressure/short deadline environment, and understand issues quickly and manage changing priorities. Ability to work effectively with diverse groups in politically sensitive and potentially contentious environments, to include working with government officials, the public, community groups, and multiple Port departments.
QUALIFICATIONS: Combination of education and experience demonstrating knowledge, skills and abilities equivalent to:
Bachelor’s Degree in business, Construction, Project Management or related field; and
Two (2) years of experience in project coordination or construction scheduling.
Master’s Degree or Project Management Accreditation; and
Four (4) years of experience working at medium or large hub airport in any capacity.
